Before You Upload: A Checklist for Application Photos
Avoid rejected applications. Check these points before uploading a photo or signature to any online form.
Photo problems are one of the most common reasons online applications are delayed or returned. Most of them are easy to catch before you press Upload. Work through this checklist with the form’s official instructions open next to you.
Technical requirements
- File format matches what the form accepts (usually JPG).
- File size is within the limit — and above the minimum, if one is given.
- Dimensions match exactly when exact pixels are required.
- The shape is correct: the photo is not stretched or squashed.
- The file name has no unusual characters if the form is strict about names.
Photo quality
- The face is sharp and in focus, with no motion blur.
- No visible compression blocks or smearing (avoid very low quality settings).
- Even lighting with no strong shadows or glare on glasses.
- Natural colours — no beauty filters or heavy editing.
- A recent photo that looks like you today.
Composition
- Head and shoulders centred, facing the camera.
- Plain background of the required colour.
- Head size within the required proportion of the photo.
- Nothing covering the face, unless permitted by the rules.
Signatures
- Dark ink on a clean, white background.
- Trimmed so there is little empty space around the signature.
- Matches the size and KB limits given in the instructions.
PhotoSize checks the technical points for you: after processing, each result shows whether the file size and dimensions meet what you asked for. The visual points — lighting, expression, background — are best checked by looking at the photo at full size before you save it.
